Running Your First Report

1 Access Reports

From the main menu, click Reports or use the keyboard shortcut:

⌘ + R to open the Reports menu

You'll see all available report types organized by category: Financial, Time & Billing, Trust Accounts, and Client Reports.

2 Select Your Report Type

Click the report you need. The most common choices:

  • Accounts Receivable - Check who owes you money
  • Time Summary - See billable hours overview
  • Client Ledger - Complete client financial history
  • Trust Balances - Current trust account status
3 Set Your Date Range

Most reports let you specify a date range. Use the quick presets or enter custom dates:

  • This Month - Current month to date
  • Last Month - Previous complete month
  • This Quarter - Current quarter to date
  • This Year - January 1 to today
  • Custom - Any date range you need
Pro Tip

Running end-of-month reports? Use "Last Month" on the 1st to get clean, complete data without partial days.

4 Apply Filters (Optional)

Narrow your results with powerful filters:

  • By Timekeeper - See one attorney's numbers
  • By Client - Focus on specific clients
  • By Matter Type - Compare practice areas
  • By Status - Active, closed, or all matters
5 Generate and Review

Click Run Report to generate. Your report appears instantly with:

  • Summary totals at the top
  • Detailed line items below
  • Sortable columns (click any header)
  • Export options in the toolbar

Click any column header to sort. Click again to reverse. Find your biggest outstanding balance or most profitable client in seconds.

Exporting Reports

6 Export Options

Every report can be exported in multiple formats:

  • PDF - Perfect for printing or emailing to partners
  • Excel - For further analysis or custom calculations
  • CSV - Import into other accounting software

Click the export icon in the toolbar and choose your format.

Pro Tip

Export to Excel when you need to add your own calculations or create charts. The data comes out clean with proper column formatting.

Report-Specific Tips

Accounts Receivable Best Practices
  • Run weekly to catch aging invoices before they become problems
  • Sort by "Days Outstanding" to prioritize collections calls
  • Filter by 60+ days to focus on seriously overdue accounts
  • Use the aging buckets (30/60/90 days) to categorize urgency
Important

Invoices over 90 days have significantly lower collection rates. Don't let receivables age—run this report regularly.

The A/R aging report — your collections roadmap. Sort by days outstanding to prioritize follow-ups.

Time Summary Insights
  • Compare timekeepers to identify billing leaders
  • Track realization rates (billed vs. collected)
  • Spot matters consuming time but not generating revenue
  • Use for performance reviews and compensation discussions
Pro Tip

Run a Time Summary by matter type quarterly. You might discover your "bread and butter" practice area isn't actually your most profitable.

Trust Account Reports
  • Run before every disbursement to verify available funds
  • Generate monthly for IOLTA compliance records
  • Check for negative balances immediately (should never happen)
  • Keep PDF copies for your compliance file
Critical

Your state bar requires accurate trust accounting. Run trust reports monthly at minimum. Many attorneys run them weekly.

Creating a Reporting Routine

Recommended Schedule

Build these reports into your regular workflow:

  • Weekly: Accounts Receivable (collections focus)
  • Monthly: Trust Balances, Revenue Summary, Time Summary
  • Quarterly: Matter Profitability, Timekeeper Comparison
  • Annually: Year-over-year comparisons, practice area analysis

Block 30 minutes every Monday morning for your "financial pulse check." Run A/R and trust reports. You'll catch problems before they become crises.
